Welcome to the AmDram Member Manager demo
This site allows you to examine and test how the AmDram Member Manager might work on your site. Of course, on a live site your website visitors would not be able to see any details of your members (except the list of Officials on the Home page) so you will need to create an account and log in using the "Login" button on the menu.
After you create an account, you will be logged in to the site and the Subscription form will automatically be displayed. You can choose to create a subscription (no payment is actually required!) or select a menu option. You will now have several options as dropdowns under the Member Manager menu. (You will also have received an email confirming your registration and, if applicable, another confirming you have paid your subscription.)
(NOTE: the database tables for the Member Manager and Show Manager are separate. If you have created an account and therefore are set up as a member, you will not appear as a Person in the Show Manager section. This is deliberate for GDPR reasons.)
On a live site, your logged-in regular members would only be able to see the MY DETAILS and MY SUBSCRIPTIONS additional menu options. Only specified Officers will have access to all the options. But on this demo site you will see all the options and will be able to view all the reports/lists. However, you can only edit/amend Officers. This is to give you a flavour of how the Officer roles can be used to control access.
First, have a look at the Current Members and Unsubscribed Members lists. If you processed a subscription for yourself, you will appear on the Current Members list; otherwise you will appear on the Unsubscribed Members list. This list displays all those people whose membership subscription for the current year has expired. You can quickly process a subscription for anyone using the link in the end column. You can also quickly block anyone's access to the website if required, either individually or several at a time by clicking the individual's check box and clicking "BLOCK" at the top of the column. (Don't block yourself or you will lose access!)
If you wish to try out the Officers function, go to the Officers list and click the "Edit" button on the Secretary role. In the Name field, click the dropdown arrow and find and select your own name, then click Save. Now you will have access to create and edit in all the reports except the Treasurers Report (and the Birthdays list as this is not for editing). If you change the Secretary back to someone else, you will lose the ability to create and edit in the other reports.
Other functionality not shown on the site:
- You will see there are several different Access levels set up for the Officers, which enables you to control who has access to what. You choose what these levels are and who has access to what level.
- If you have a Youth Group, separate lists can be set up for them which can only be viewed by certain members.
- An online application form can be installed and displayed on your site, which emails the application to a specific officer in your society, and creates a member account but does not allow access to the website until a subscription has been processed.
- Scheduled email notifications are available to help you meet your GDPR responsibilities. For instance, an email can be sent automatically to all members who have not renewed their membership after a certain period of time. This facility can also send automatic emails to an officer in your society reminding them to review the list of unsubscribed members and block or delete any who have not renewed after a period of time, according to your own Privacy Policy.
